CONTEXT
A private institution dedicated to preserving and cataloguing a cultural and historical heritage collection. Inventory management was essential, yet entirely manual—driven by slow processes that struggled to keep pace with the increasing volume and complexity of the assets.
THE TECHNOLOGICAL CHALLENGE
The challenge was not simply to “build an app,” but to reliably support an inherently human process—digitizing and cataloguing physical assets—while ensuring that accumulated progress would not be compromised by errors that are difficult to detect or correct.
The existing setup revealed key weaknesses:

Local spreadsheets and scattered files, with inconsistent criteria and mixed data across users.

Lack of data integrity and consistency guarantees—no reliable way to isolate, monitor, or correct inconsistencies without rework.

Severe limitations in classification, filtering, sorting, and overall visibility, precisely when scale made manual processes unmanageable.
A single incident in the existing workflow exposed the fragility of the system: without automated controls, one error could create a gap in the accumulated work. The conclusion was clear—transition to a system where data is unique, verifiable, and governable.
SOLUTION DELIVERED
A centralized web application was developed to register, manage, and query digitized assets—fully replacing the previous spreadsheet‑based system. Designed as a web/back‑office management platform, it was built from the outset to evolve in a structured and scalable way.
In its current production scope, the system manages physical photographic assets organized into two collections: press photography and author photography. The workflow is aligned with real operational needs—enabling fast and consistent registration, classification, retrieval, and consultation. Validation mechanisms and controls were implemented to reduce inconsistencies, strengthen data reliability, and prevent errors from becoming hidden within the system
A key product and technology decision was not to “automate the human process itself”, but to reinforce its outcomes. The platform acts as a reliable backbone for inventory management—adding structure, consistency, and query capabilities while respecting the physical cataloguing process. The system is also designed to incorporate new asset types (such as coins, archival clippings, or historical equipment) as the project evolves—without requiring structural redesign.
